Refund Policy

Espoir Mediation & Insurance Advocacy — Refund Policy

Espoir Mediation & Insurance Advocacy (“Espoir,” “we,” “our,” or “us”) provides professional services that require preparation, time, and scheduling. To ensure fairness and clarity for all clients, the following refund policy applies.
 

1. Mediation Services Refund Policy

A. Non‑Refundable Services

Mediation fees are non‑refundable once:

  • A session has begun

  • A mediator has prepared case materials

  • Documents have been reviewed

  • Scheduling and coordination have been completed

Mediation involves time, preparation, and reserved appointment slots, which cannot be recovered once work has started.
 

B. Cancellations

  • 48 hours or more before the session: Eligible for a full refund or credit toward a future session.

  • Less than 48 hours: No refund. A credit may be offered at Espoir’s discretion.

  • No‑shows: No refund.
     

C. Early Termination

If a mediation ends early due to:

  • Agreement reached

  • Party withdrawal

  • Non‑cooperation

  • Safety concerns

No refund is issued for unused time.
 

2. Insurance Advocacy Refund Policy

A. Non‑Refundable Services

Advocacy fees are non‑refundable once:

  • Work on your case has begun

  • Calls or appeals have been initiated

  • Documents have been reviewed or prepared

  • Research or provider communication has been completed

Advocacy involves labor, expertise, and time that cannot be reversed.
 

B. Outcome Disclaimer

Refunds are not provided based on:

  • Claim denials

  • Appeal outcomes

  • Insurance company decisions

  • Provider billing practices

We advocate strongly, but outcomes are not guaranteed.
 

3. Retainers & Deposits

If a retainer or deposit is required:

  • It is applied toward services rendered

  • Any unused portion may be refunded only if no work has begun

  • Once work starts, retainers become non‑refundable
     

4. Service Credits

In certain situations, Espoir may offer:

  • A credit toward future mediation

  • A credit toward future advocacy services

Credits are issued at Espoir’s discretion and are not guaranteed.
 

5. Refund Request Process

To request a refund (when eligible), clients must contact us at:

Refunds are reviewed within 7–10 business days.
 

6. Exceptions

Espoir reserves the right to make exceptions in cases involving:

  • Documented emergencies

  • Severe illness

  • Unexpected circumstances

Exceptions are evaluated individually and are not guaranteed.
 

7. Policy Updates

Espoir may update this Refund Policy at any time. The “Effective Date” will reflect the most recent version.
